How much admin is normal for a practice of one?

Less than you have, almost certainly. A few hours a week covers email, notes and the books once booking, payment and invoices run by themselves. If admin takes a day a week or more, something you do by hand could be done by the client or by software.

What stays

  • Replying to clients about the work itself.
  • Notes after sessions.
  • A look at the money once a week: what’s paid, what’s owed, what’s put aside.
  • The quarterly or yearly hand-over to your accountant.

What can go

  • Emails to find a time. Clients pick from the times you offer.
  • Emails to move a time. Clients move it themselves inside your window.
  • Invoices for sessions. Payment at booking means there’s nothing to invoice.
  • Chasing late invoices by hand. Reminders can go on a schedule.
  • Sending the agreement and waiting for it back. Clients accept it before paying.

On WorkWith, invoices are chased after the number of days you set, and Today shows only the things that need a decision from you, each with one verb.
