How do you switch booking tools without losing clients?
Run both for a month. Set up the new one, move your future availability there, and keep the old one only for sessions already booked. Change the link everywhere it appears, tell clients once, and close the old account when the last old booking has happened.
- Step 1
Set up the new page first.
Offerings, prices, agreement and hours, before anybody sees it.
- Step 2
Book yourself.
Go through it as a client would, from the link to the confirmation.
- Step 3
Close future times on the old tool.
Keep the sessions already booked there. Take new bookings only on the new page.
- Step 4
Change the link everywhere.
Email signature, social bios, directory listings, your website’s Book button, the PDF you send new clients.
- Step 5
Tell clients once.
“From today, book with me here. Sessions you’ve already booked stay as they are.” Then the link.
- Step 6
Close the old account.
After the last old booking has happened, and once you’ve downloaded anything you need from it.
Coming from Calendly
On WorkWith, Bring your Calendly over on Link connects your Calendly account once. Your active event types arrive as offerings, with no price yet and not on your page until you put them there, and the people who booked in the last year arrive as clients. No access to Calendly is kept.
