What happens when a client’s card is declined?
Usually nothing serious. The bank stopped one payment, often for something as small as a new card number. At booking, the client tries another card, and the time isn’t held until one works. On a monthly renewal, Stripe tries again on its own, and a new card from the client fixes it for good.
At booking
The page tells the client the payment didn’t go through and asks them to try again. Nothing is booked until a card works, so you never hold an hour for somebody who hasn’t paid. There’s nothing for you to do.
On an invoice
The payment page says the card didn’t go through and leaves a card field open for another one. The invoice stays open, and if its due date passes, the usual reminders go out.
On a monthly renewal
- Step 1
Today tells you
A Renewal failed item names the client and the retainer.
- Step 2
Send the fix link
One tap emails the client, from your name, a link to update their card. Nothing goes to them until you tap, so you can call them first if that suits the relationship.
- Step 3
Let the retries run
Stripe tries the card again over the following days on its own. The client’s page keeps working in the meantime.
- Step 4
Done when it’s paid
When a payment goes through, the item clears itself.
A declined card is the bank’s decision, not the client’s. Treat it that way the first time.
