How to end working with a client

In writing, with one sentence of reason, what’s settled both ways, and a door left open. “The work you need next is outside what I do. I’ll refund the two unused sessions, and if things change, you know where I am.” The last message is the one they remember.

When to send it: As soon as you’ve decided, after a last session if there is one.

The message

Subject: Our sessions

Hi Sam, I’ve enjoyed working with you, and I think the next stage of this needs somebody who specializes in leadership teams, which isn’t me. Priya Shah would be my first call. I’ll refund the two sessions you haven’t used, and you’ll see it on your card within a week. If things change, you know where I am. Maya

Why it works

  • The reason is about the work, not about them.
  • The money is settled in the same message, so there’s nothing left hanging.

What not to say

  • Letting it fade by not booking the next session.
  • Listing everything that went wrong.
