How to tell clients your terms are changing

Say what changes, from when, and where to read it, a month ahead. Bookings already made stay on the old terms. One paragraph, one date, one link. Don’t bury the change in a newsletter, and don’t make it sound smaller than it is.

When to send it: A month before the change.

The message

Subject: A change to my cancellation policy from May 1

Hi Sam, From May 1, I need 48 hours’ notice to move or cancel a session, up from 24. Anything already booked before then stays on the current terms. The new agreement is at the link below. Nothing else has changed. Maya

Why it works

  • The change is in the subject line, so nobody can say they missed it.
  • Existing bookings are protected, which is fair and heads off the objection.
  • “Nothing else has changed” saves them reading the whole thing to find out.

What not to say

  • Changing the terms without telling anybody, and pointing to them later.
